Data room software for fundraising compared: seven options, from a tracked folder to a room that closes the LP

On October 14, 2026, three of seven data rooms compared publish a price. DocSend's Advanced Data Rooms plan is $180 a month for three users; Box starts at $5 per user per month with a three-user minimum; Ansarada runs a quote builder and keeps the room free until the deal goes live. Intralinks, Datasite, Firmex and Vessel quote. For a first-time manager raising this quarter the pick is DocSend; a GP who wants the room to become the subscription should look at Vessel or Intralinks FundCentre; an institutional process belongs on Intralinks or Datasite.
The short answer
A fundraising data room has one job: let the right LP read the right documents, and tell you who read what. Every product here does that. They differ in what sits around it. DocSend and Box are document tools with permissions added; Ansarada, Firmex, Datasite and Intralinks are transaction rooms built for M&A diligence and sold to GPs as well; Vessel and Intralinks FundCentre put the room inside a fundraising system so that reading the room, signing the subscription and being onboarded happen on one record.
The price question is simple because so few publish one. DocSend's $180 a month buys a working room for a first fund today. Box is cheaper per seat but is a folder, not a room. The transaction rooms quote, and their quotes are scaled for deals with hundreds of bidders, not thirty LPs. The strategic question is whether the room should end at the signature: if the LP who finishes reading should be handed a subscription document and a KYC form in the same session, the room is a feature of a fundraising platform, and that changes the vendor.
Seven data rooms on delivery, what they are built for, sweet spot, published price, whether an LP portal comes with it, and the date we read each page.

What each one actually is
DocSend is the tracked-link tool most first-time managers already use for the deck, with data rooms on its two upper plans. Advanced, at $150 a month for three users, adds lightweight rooms, email authentication, access controls, dynamic watermarking and NDAs; Advanced Data Rooms, at $180, adds group permissions, audit logs, automatic indexing and room analytics. Unlimited visitors on every plan; yearly billing saves up to 40%. It is not a fund tool and has no portal, but it is the fastest route to a room that answers "who opened the LPA".
Box is a content platform, priced per user from $5 on Business to $25 on Enterprise with a three-user minimum, with unlimited external collaborators from Business Plus up and FedRAMP Moderate and HIPAA eligibility on Enterprise. It becomes a data room by discipline: a folder structure, per-LP permissions and activity reporting. For a firm already on Box it costs nothing extra; for anyone else a purpose-built room is less work.
Ansarada sells transaction rooms with a quote builder rather than a price list, and a free preparation period: the room costs nothing until the transaction is live or 90 days after creation, whichever comes first, with data overage charged above the contracted plan. The free period suits a raise that is being assembled over a quarter.
Intralinks is the incumbent for institutional fundraising. Its site states a GP-LP community of 515,000 individuals from 100K+ organisations and claims more than $1 out of every $2 raised globally passes through it, with VDRPro as the room and FundCentre bundling fundraising, investor onboarding, fund reporting and administration on top. ISO 27701 and dynamic watermarking are stated. No price.
Datasite is an M&A room first: 2m+ users since 2020, 55k+ deals a year, and the longest list of certifications here, including SOC 2 Type II and ISO 42001 for AI governance. It handles financings and fundraising as one transaction type among several. No price.
Firmex sells a single-project room at a one-time fee or an always-on subscription with unlimited projects, support around the clock and single sign-on, both quoted. The subscription model fits a firm that opens a room for every fund, co-invest and secondary.
Vessel lists digital data rooms and subscription workflows as one product inside a fundraising and operations platform, so the LP who reads the room moves to the subscription, KYC and onboarding on the same record, and a SOC 2 Type II attestation is stated on its security page. We could not locate a standalone data room product page on October 14, 2026, so the room's own controls are not itemised here. No price.
Who should choose which
- Choose DocSend for a first or second fund raising from individuals, family offices and smaller institutions this quarter: a published price, a room in an afternoon, and the analytics that tell you which LP to call next.
- Choose Vessel or Intralinks FundCentre when the room should hand the LP straight to the subscription documents and KYC, so nobody is re-keyed between a room, a closing tool and an administrator. Vessel if the firm is a venture or PE GP raising from a pipeline it is still building; Intralinks if the LP base is institutional and already lives on it.
- Choose Intralinks or Datasite for an institutional process with Q&A workflows, bidder-style permissions and an audit trail a consultant will ask for.
- Choose Ansarada or Firmex when the raise is run like a deal, on a per-project or subscription basis, and nobody needs a portal afterwards.
- Choose Box only if the firm already runs on it and the raise is small.
The pick would change the day DocSend's room could hand an LP to a subscription workflow, or the day one of the transaction rooms published a price scaled for a thirty-LP raise.
What goes wrong
- The room is the only copy. Documents in a room with a per-project term disappear with the project. Keep the fund's document archive in the system of record and treat the room as a window onto it.
- Wire instructions in the room. They belong in the portal, delivered at onboarding, and never changed by email or by a room update.
- Track record without the method. LPs' advisers rebuild the numbers; put the methodology beside them.
- Permissions by folder, LPs by group. One LP in the wrong group sees another LP's side letter. Permission per LP, and test it with a dummy LP account before the first invitation.
What we did
We read each vendor's pricing page, or its home page where no pricing page exists, on October 14, 2026 and recorded only what was written there. iDeals could not be reached at its pricing address that day and is not in the table. Vessel's standalone data room page could not be located; its row draws on the home page and the security page. We did not call vendors or use third-party estimates. The pick is an editorial judgement about a first-time manager raising this quarter; the conditions under which we would choose differently are above.

Terms used in this article
- LP portal (investor portal) An LP portal, or investor portal, is the secure website where a fund's limited partners log in to view their capital account statements, capital call and distribution notices, quarterly reports, tax documents and fund legal documents, replacing email and PDF distribution.
- Subscription agreement A subscription agreement is the contract an investor signs to commit capital to a fund, stating the commitment amount, making representations about eligibility as an accredited investor or qualified purchaser, identity and source of funds, and agreeing to be bound by the limited partnership agreement when the general partner accepts the subscription.
- PPM (private placement memorandum) A PPM, private placement memorandum, is the disclosure document a fund gives prospective investors in a private offering, describing the strategy, the team, a summary of the terms in the LPA, prior performance, conflicts of interest, tax considerations and risk factors.
- KYC and AML KYC (know your customer) and AML (anti-money-laundering) are the checks a fund performs on each prospective limited partner before accepting their subscription: verifying identity and beneficial ownership, screening against sanctions and politically exposed person lists, and documenting the source of funds, with records kept for audit and regulatory review.
- First close A first close is the first date on which a fund's general partner accepts subscriptions and admits limited partners, at which point the partnership agreement takes effect, the fund can call capital and make investments, and the management fee usually begins to accrue.
